We are currently recruiting for a Facilities Administrator to join the Facilities team.  The purpose of this role is to provide administrative support to the Facilities Team by developing, implementing and improving good practices ensuring that OXB policies and regulatory standards are met.

 

Our Facilities team lead various buildings and infrastructure changes across all our workplaces. This includes external and internal redevelopment projects, equipment maintenance and repairs while ensuring our premises remain secure, safe and clean for our employees to work.

 

Your responsibilities in this role would be:

  • Overseeing contracts including for Money Penny and stationery
  • Monitoring the Facilities inbox to ensure that all appropriate enquiries are dealt with in a timely manner as well as the Facilities work request tracker
  • Raising and receipting invoices
  • Ordering and stock checking of consumables for all kitchens across the estate.
  • Maintaining the Capita Registrars Shareholders spreadsheet
  • Attending Facilities meetings at all sites and as and when required recording meeting minutes
  • Traveling between OXB sites weekly
  • Acting as a first line support in relating to facility queries and requests and escalating where necessary
  • Providing analysis on items for Facilities Team and their internal customers
  • Devising and maintaining in-house facilities related documentation including protocols, internal signage, and spreadsheets

 

We are looking for:

  • Ability to travel to different sites – driving licence is essential
  • GCSE English and Maths
  • Experience in administration
  • Proficient in Microsoft Windows applications such as Excel, Word and PowerPoint, Outlook and Visio
  • Experience of working in a fast past facilities or customer service environment
  • Experience of procurement systems and procedures
  • Excellent communication skills over the telephone and in person
